You can fill in your learning agreement on https://learning-agreement.eu/. You and your university have to sign it before we can sign it. If your university does not work with online learning agreements (OLAs) yet, you can email the pdf file of your learning agreement to [email protected]. Does your home university has its own system (e.g. Solemove)? Please submit the learning agreement via the system provided.
Yes, we strongly recommend being present for the introduction days. Of course, if you really cannot attend, exceptions can be made but please get in touch with us on [email protected].
The Study Start Week is for regular international and national students who are going to follow a bachelor’s programme. It is unfortunately not for incoming exchange students and if you do sign up for the SSW, you’ll have to pay. The introduction days organised especially for incoming exchange students are free of charge. The exception is the pub night – you’ll have to pay for your own drinks.
Please drop by the International Office R8 0.43 or ask one of the colleagues from the International Office during the introduction days to sign your documents. We prefer to sign the certificate on paper so as to avoid an excess of emails.
Anyone staying longer than 4 months in the Netherlands has to register at the city hall. You can make an appointment with them using the link in the arrival document.
When you register at the city hall, you’ll also get a citizen service number (BSN). You need this number to open a bank account (this is mandatory for non-EU students regarding visa/deposit).
All information we need for you to study here will be forwarded by your home institution with the nomination. After nomination, you will be asked to submit your choice of minors in the iGo portal. Only students who have a non-EU nationality need to provide additional documentation for the visa application. Please follow the instructions provided by our Central Student Administration department ([email protected]).
You can register for your minor exchange subject during the application period using iGo.
For a doctor’s appointment, you first need to call the doctor’s practice you are registered with. Check the practice’s website for the phone number. You normally have to call between certain hours in the morning and will usually be able to get an appointment the same day.
Most doctors will send their invoice directly to the insurance company. If you go to a dentist or hospital, however, you may have to pay the invoice yourself and then claim the costs from the insurance company afterwards. Check what your insurance covers and how you can claim costs so as to avoid extra and unexpected costs. Be sure to keep copies of invoices and correspondence for your own administration.

Your home university has to nominate you via our online nomination form. After nomination you will receive a confirmation email and more information about the application procedure.
You can pick up your student card from the Student Info office.
After your exchange semester, you will receive a Transcript of Records. If you have attained all the credits for your minor, you will receive the Transcript of Records automatically. If you have finished your minor but haven’t completed all the subjects (for example 27 ECTS), please request a summary of results (OSR) via the exam committee.
Some academies do not work with grades but simply state if you have passed on your transcript/grade system. You can check the course catalogue for how minors are assessed. We cannot change Passed into specific grades.
Sometimes, circumstances are such that a minor has to be cancelled or is fully booked. Othertimes, a glut of students applying for a minor at the same time in IGO results in it being overbooked. Unfortunately, we sometimes have to disappoint students and look for a new minor.
It’s also possible that a minor is cancelled due to a lack of applicants. We try to avoid this of course, but if it does happen, we will try to help you find a new minor.
Hand in your OLA (Online Learning Agreement) after you have enrolled for a minor, not before. The deadline is 2 weeks before you start with your exchange.
